We are currently seeking an Office & Delivery Support Manager to join our office in Toronto. 


Role Objective

The role objectives include the following

  • Project Procurement Management
  • Scheduling Project Reviews
  • Support document control
  • Support continued business development through lessons learned sessions
  • Manage business opportunities
  • Manage day to day running of the office

Office Management

Ensure the office is maintained, which will include but not limited to:

  • Asset Management
  • Stationary Stock
  • Replenished Pantry
  • Booking of meeting rooms
  • Welcoming and logging of visitors
  • PPE Management
  • Access Management
  • Event Management
  • Office procurement (including financial submissions)
  • On-boarding support
  • Internal communications
  • Business Unit Timesheet Management
  • Travel management

System Management

Supporting the Business Development with managing our Business Opportunities which will include but not limited to:

  • Logging of new opportunities
  • Updating status of opportunities
  • Running pipeline reports and sharing with stakeholders
  • Seeking updates when an opportunity is outdated

Procurement and Support which will include but not limited to:

  • Draft work package forms for Project Management approval
  • Coordinate supplier contract execution
  • Raise purchase requisitions for Operations Manager approval
  • Issue Purchase Orders to Suppliers
  • Manage PO balances and communicate with stakeholders
  • Chase late payments from Finance for suppliers
  • Prepare month end valuations for Project Management review and approval

Continued Improvement
Plan and schedule LBU Lunch & Learns in addition to Canada Rail Lessons Learned to support continued team and business development.
Identify areas for the above sessions and proactively drive them forward.

Required education and experience

  • Minimum of 5 years’ experience as an Administrator
  • Solid organization and time-management skills
  • Proficient in the use of Word, Excel, Project, and Power point.
  • Excellent English oral and written communication skills, including the ability to communicate with many audiences.
  • Versatile and adaptable, able to operate under pressure to meet deadlines and for project success.
  • Strong organisational skills to be able to work on multiple tasks and to tight deadlines.
  • Hybrid Working, 3-4 days per week in the office (Toronto)
