Job Description

The Opportunity:

Ricardo Defense is seeking an Administrative Assistant in our Troy, MI facility to support Ricardo Defense's proposals and awarded contracts. The qualified candidate will be well-versed in government contracts and proposal support. The Administrative Assistant will work under the direction of the Contracts Managers, and with Senior Leadership, Business Development, Project Managers, Facility Security Officers, Customers, Suppliers, and Ricardo Defense team members.

Responsibilities and Duties:

  • Work under the direction of the Contracts Managers and Business Development staff for the processing of company level non-disclosure agreements and teaming agreements
  • Work under the direction of the Contracts Managers and Proposal Managers in the preparation work for proposal packages related to Requests for Information (RFI), Request for Proposal (RFP), and Request for Quote (RFQ)
  • Work under the direction of the Contracts Managers and Project Manager staff in the processing of project specific non-disclosure agreements, deliverables submissions, insurance requirements compliance, training requirements compliance, maintenance of training and other project specific logs, and travel request approvals
  • Work under the direction of the Contract Managers to assist in project set up, inquiries, and close out
  • Receive and log Government Furnished Equipment (GFE) and Bailments according to Ricardo Defense processes, coordinated with the Property Administrator, Project Managers, and applicable Customers
  • Adhere to Ricardo configuration management and security protocols
  • As applicable, schedule and attend meetings with project teams
  • Participate in internal and external audits
  • Under the direction of the Contracts Managers maintain company information with Customer and Government accounts
  • Support on-going process improvement of company policies, processes, procedures, and templates

Basic Qualifications:

  • Current investigation with at least Secret eligibility and the ability to maintain that clearance
  • Minimum 3 years U.S. Government contracting experience
  • Detail oriented
  • Excellent organizational skills
  • Fluent with Microsoft Office Suite applications: MS Word, MS Excel, MS Powerpoint

Preferred Qualifications:

  • Minimum High School diploma and 4 years experience; Bachelors degree, BA or BS is preferred
  • Strong communication and presentation skills
  • Comfortable interfacing with Government representatives and other Customers, Suppliers, Corporate management and all company staff.
  • Self-starter, detail oriented, works well under deadline driven schedules while adhering to company processes and procedures
