Job Description

THE ROLE

Ricardo Rail has an exciting opportunity for a Personal Assistant (PA) to the General Manager, Asia.  You will have exceptional organisational and communication skills to provide administrative support to the General Manager.

This role will take on a range of responsibilities from the tactical day-to-day tasks to more complex varied ongoing projects as required. You will need to be very flexible and work well with changing requirements and demands of a dynamic, rapidly growing business. 

 

KEY RESPONSIBILITIES:

  • Diary management, travel arrangements, flagging issues with the General Manager as appropriate, anticipate and provide information and documents as required
  • Screen and evaluate telephone calls, internal and external meeting requests, establish priorities for dealing with requests and identify opportunities to free up time for the General Manager
  • Co-ordinate internal and external meetings, take accurate meeting minutes, arrange and oversee seminars and conferences whilst maximising cost reduction opportunities
  • Logging and tracking the numerous actions that are created from various meetings around the region.  Following up on actions in the event these are not executed in a timely fashion and doing what can be done to support the timely completion of the actions
  • Reviewing and or producing (English) letters, notices, reports and correspondence. This includes checking and / or revising formatting of documents and presentations for internal or external circulation

 

QUALIFICATION AND EXPERIENCE REQUIRED                                               

  • Minimum 2 years' experience in a similar role in a busy and complex environment
  • Experience working well in a diverse, multicultural environment and demonstrated respect for different backgrounds
  • English: Fluent in speaking and writing.  Chinese (Mandarin): Fluent in speaking and reading; fluent in writing highly desirable

  • Strong diary and task management skills with the ability to effectively manage constant requests for the General Manager’s time
  • Proven ability to take initiative and contribute to continuous improvement
  • Commitment to quality, confidentiality and professionalism whilst developing and maintaining positive relationships with various stakeholders
  • Advanced level in Microsoft Office, strong reporting skills and demonstrated ability to learn and effectively use new systems
  • Excellent written communication skills and extremely high attention to detail
  • Excellent verbal communication and highly developed interpersonal skills
